Existing Campaigns

Follow these eight easy steps to a successful UPAF campaign. Check them off as you complete them:


    PRE-CAMPAIGN

  1. Review last year's campaign
    Meet with your Loaned Executive. He/She will call in late-January/early-February to schedule a meeting

  2. Involve top management
    • Establish a kick off date: ________________
    • Establish a finale date: __________________
    • Set a financial goal: $_______________
    • Set a % participation goal: _______________
    • Ask President/CEO for visible and active support of the campaign, i.e. sign letter of endorsement, appear at campaign functions, demonstrate importance of UPAF participation
    • Appoint a Leadership Champion to solicit management level prospects

  3. Assemble a team
    • Engage a team to represent the entire workforce and divide duties among team members
    • Develop a theme / plan kick off events and activities - submit performer/speaker requests
    • Obtain prizes and incentives
    • Reserve VCR or DVD player for the campaign video

  4. IMPLEMENT

  5. Include all employees
    • Solicit all employees at a group meeting or one-on-one. *Personal interaction*
    • Ensure past donors renew their gifts
    • Encourage new donors; increase participation %

  6. Publicize the campaign
    • Use various communication methods including: posters, emails, voicemail, newsletters to promote the campaign
    • Share campaign dates and UPAF informational material

  7. Hold a campaign kick off event
    • Begin with remarks from top management supporting the UPAF campaign
    • Provide refreshments, show video, include UPAF speakers or performers to provide an experience of the arts
    • Announce campaign goals
    • Distribute pledge cards and brochures (tell employees when, where, to whom they return pledges)
    • Inform employees of the UPAF donor benefits
    • Offer incentives
    • HAVE FUN!

  8. WRAP UP

  9. Wrap up with a flourish
    • Follow-up with employees who haven't returned their pledge cards
    • Thank your team members
    • Fill out report form. If your company offers payroll deduction, provide your payroll department with the results. Contact your UPAF representative for pickup.
    • Thank all donors with a finale party, a simple letter, email or small gift
    • Announce what was raised in support of UPAF; celebrate reaching your goals

  10. After the Campaign
    • Learn from your role and create clear notes for your successor
    • Call UPAF with any ideas, original materials, questions or concerns from your experience
    • Celebrate with the community by attending the United Performing Arts Fund Finale Celebration in June!
